1. Acceptance of Terms

Using Synaptra Group’s services confirms your acceptance of these Terms and Conditions. Synaptra Group may update these terms at any time. The most current version will always be available on our website.

2. Personal information and student details

Parents/guardians must provide accurate contact information, medical details, allergies and any special educational needs (SEN) prior to the first session. This ensures we can deliver appropriate support and act safely in emergencies. Information is handled securely and in line with data protection laws.

3. Payments, Fees and Late Payments

Fees are fixed at the time of enquiry and are non-negotiable.

All sessions require a monthly advance payment, payable by the final working day before the month of lessons.

Late or missed payments may result in additional charges under relevant laws.

4. Cancellations, Missed Lessons, and Refunds

Missed or cancelled sessions are non-refundable and can’t be carried over. In the case of illness or emergency, alternative arrangements are at the company's discretion.

If Synaptra Group cancels a session, a replacement will be arranged.

To stop tuition, a 1-month written notice (email accepted) must be given. Unused prepaid sessions will not be refunded.

5. Timekeeping

Sessions last 45 minutes unless otherwise agreed.

6. Term Time and Holiday Periods

Services follow standard term-time schedules unless otherwise agreed.

Holiday sessions must be arranged separately in advance. Availability and format may differ from term-time sessions.

7. Parental Involvement

A responsible adult must be on the premises for all sessions (online or face-to-face).

Parents/guardians should not be in the same room as the student during sessions to support independent learning.

Parents/guardians may not participate in sessions. Repeated interruptions may lead to the session being paused or ended.

8. Online Sessions and Technology

Students must not interfere with lesson controls (e.g. mute buttons).

Technical issues should be reported via chat or phone immediately.

If connection issues last longer than 15 minutes, the session may be rescheduled.

9. Food, Drink and Dress Code

No food is allowed during lessons unless medically required.

Only water is permitted during sessions.

Students must wear appropriate clothing. Inappropriate dress may lead to session cancellation without refund.

10. Student Behaviour

Students are expected to behave respectfully during all sessions.

Disruptive or disrespectful behaviour may result in the session being paused or ended.

Repeated behaviour issues may lead to termination of services with no refund.
